New McLean Community Center Refund Policy

Effective with the start date of the Summer 2013 session, the McLean Community Center (MCC) will have a new refund policy. This change affects fees paid to MCC for classes, trips, summer camps and other center activities. As it does currently, the center will issue a full refund when a class, camp or trip program is cancelled by the center.

For class/activity fee refunds, patrons who submit refund requests 14 days or more before the start date of a class or activity, will be granted a refund, minus a $25 processing fee. Refunds requested less than 14 days before the start date of the class or activity will not be granted.

For trips and tours, patrons who submit refund requests 14 days or more before the date of the trip or tour will receive a full refund. Refunds will not be granted to patrons who submit requests less than 14 days before trip or tour date due to the costs associated with meal reservations, tickets and chartered transportation.

For summer camp programs, the change will affect registrations for summer camp programs. Camp registration will begin on Monday, Feb. 4. A full refund will be issued for cancellations received before May 1, 2013. For cancellations received after May 1, and 14 or more days before the camp’s start date, a $100 processing fee will be deducted from the amount paid and the remaining amount will be refunded to the patron. If a cancellation is received less than 14 days prior to the camp’s start date, a $100 processing fee will be deducted from the amount paid. If a replacement can be found to fill the space vacated, the remaining amount will be refunded to the patron. However, if a replacement cannot be found, a refund will not be granted.

Once a class, camp or activity is in session, refunds may be granted only for medical reasons or for extenuating circumstances as determined by the General Programs director and registrar. Medical requests must be accompanied by a doctor’s note.

Refund requests must be submitted in writing to registrar@mcleancenter.org. Refund checks will be issued by Fairfax County within four to six weeks after the request has been received.
